We are currently seeking a highly qualified Facilities Coordinator to support the Washington, DC Office. This position reports to the Senior Manager, Government Affairs Programs. This position will support the efficient operation of the DC Office.

Specific accountabilities include:
• Maintaining and repairing office equipment and physical space. This includes coordinating with contractors to repair and maintain carpet, painting, woodwork, cleaning, greening service, etc. Coordinate office moves.
• Providing reception coverage including registering guests, greeting and directing guests, answering the switchboard and directing calls, issuing visitor badges, receiving and signing for deliveries, post signage, reserving conference rooms, and coordinating with staff on catering for meetings.
• Obtaining quotes and contracts for office services, setting up purchase orders as necessary, and paying facilities bills.
• Government Affairs Records Management lead Assigned Records Management Personnel. Responsible for knowing company policy related to records management and assisting DC employees with complying with their records management obligations.
• Responsible for ordering, receiving, inventorying, storing and delivering of office supplies, food products, and beverages. Ensures that an adequate supply is on hand.
• Operating and maintaining the copying equipment. Performing preventative maintenance and supplying all machines with paper, toner, developer, fuser lubricant, and initiating calls for maintenance and repairs. Handling large and complicated copying jobs with timely and reliable service.
• Assisting with DC Office events logistics including room set-up, name badges, flip charts, signage, etc.
• In coordination with Headquarters Security Services and building security, assisting in maintaining a secure work environment. This includes security badges and access assignments. Maintaining and updating emergency procedures.
• Coordinating interoffice deliveries and pickups. Ensuring incoming correspondence receives immediate attention. Ensuring that DC Office publications are ordered and distributed.
• Assisting with on-boarding and off-boarding of DC Office staff related to security badges, building fobs, keys, gym access, parking pass coordination, supplies, cleaning office space, hanging pictures, office set-up and break-down, and name plates.

Specific Skills

Qualifications include:
• An Associate’s Degree (or equivalent experience), plus a minimum of 6 years of relevant experience.
• Strong organizational skills.
• Ability to prioritize multiple tasks, work independently and make decisions.
• Excellent written and verbal communication skills.
• Advanced computer skills, including a thorough understanding and application of Microsoft Office Suite (Outlook, Power Point, Excel and Word).
• Ability to interact with all levels within and outside of the company.

• This position is active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing frequently. The employee must frequently lift or move items over 50 pounds.
• Based on business needs early mornings, late nights, and weekends are sometimes required.
