Altria Client Services’ role is to provide high quality services to the Altria family of companies. We are currently seeking a highly qualified District Assistant to join our Government Affairs department in Sacramento, CA.
The successful candidate will assists Regional Director and/or District Director with a wide variety of activities related to the Company’s legislative and regulatory agenda.
Specific accountabilities include:
• Maintaining accurate records of all lobbying and disclosure reports as required by internal Company policies. • Generate transmittal letters (with language required by Law Dept.) for gift expenditure activity where applicable. • Generating internal monthly certifications reports on all company and registered lobbyist filings. • Initiating political contribution requests using appropriate internal databases. • Reconciling bank statements to internal files on State PAC’s where appropriate. • Generating transmittal letters (with language required by Law Dept.) for all political contributions. • Maintaining Contractor Budget sheet. • Generating external consultant contracts using appropriate internal databases and processes. • Reviewing and processing contractor expense invoices on occasion (rare cases only. • Assisting the Director in the coordination and the development of weekly, monthly, and quarterly reports on government affairs and legislative activities utilizing StateNet. • Developing charts and graphs showing trends to objectives as needed. • Coordinating the dissemination of legislative research with management and Legal. • Organizing, cataloging, and monitoring legislative information (i.e., proposals, bill status, etc.) by state. • Developing and maintaining up to date internal working budgets that reflect all state expenditure activity. • Reconciling working budgets to GIFTS and SAP. • Initiating contribution requests using appropriate internal databases and processes • Gathering required back-up documentation from external organizations. • Generating transmittal letters (with language required by Law Dept.) for all third party and charitable contributions. • Ensuring proper Records Retention and SGA filing system procedures are followed. • Processing office expense invoices for payment with A/P • Coordinating equipment issues/troubleshooting with ITSC. • Orders office supplies. • Performing general clerical duties as needed. • Makes follow-up calls as necessary in Director’s absence. • Assisting in development and preparation of presentations to internal/external clients and Senior Management. • Preparing TEA expense reports and reconciles with Corporate American Express statements. • Managing the Directors calendar. • Traveling and attending meetings as required. Approximately two east coast trips per year. • Participating in Corporate and Government Affairs programs and training courses. Specific Skills Qualifications include:
• Office management and organization. • Financial accounting knowledge • Understanding of government and legislative process helpful. • Strong multi-tasking skills and ability to prioritize workload in order to meet deadlines. • Excellent communication skills. • Exercises professional judgment when interacting with internal/external stakeholders. • Demonstrates flexibility. • Attention to detail • The ability to maintain, and be mindful, of confidential information and materials. • Office environment that requires extensive sitting and use of computer equipment. • Requires broad knowledge and operation of computer software and hardware, i.e. Microsoft Office programs and internal systems.
